This position is responsible for providing administrative services for the Director of Communications and Communications Division staff. Coordinates several Texas Farm Bureau and county Farm Bureau award programs. Assists in development of Communications Division products.
MAJOR RESPONSIBILITIES AND AUTHORITY
Assist in layout and distribution of news releases and media advisories.
Manage email groups and email lists for the distribution of news releases and other content.
Format monthly fill-in-the-blank news releases and other periodic Communications materials for inclusion in weekly Mail Packet to county Farm Bureau presidents.
Act as newsroom coordinator at annual meetings.
Serve as resource contact for county Farm Bureau Facebook page administrators.
Coordinate Pioneer Awards program.
Coordinate County Communications Awards program.
Provide support, files and documentation for media awards.
Coordinate photography of county Farm Bureau delegates attending annual meeting.
Monitor and distribute correspondence, faxes and email.
Prepare correspondence, invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, and presentation software.
File and retrieve corporate documents, records, photos and reports.
Perform general office duties such as ordering and maintaining adequate office supplies for Communications staff, maintaining records and performing basic bookkeeping.
Maintain accurate and current filing and directory systems for the Communications Division.
Maintain archive of publications for historical and interoffice use.
Assist with publication updates (address changes, address removals, etc.).
Attend Communications Division meetings, as needed,
Comply with the Certified Fleet Operator requirements of the Company Driving and Safety Policy.
Other duties as assigned.
MINIMUM POSITION QUALIFICATIONS
High school diploma or GED.
Three years of office experience.
Effective interpersonal verbal skills, both face-to-face and over the phone.
Effective basic computer skills, especially in Microsoft Office Suite, as well as Photoshop, and photo and document scanning software.
Knowledge of bookkeeping, telephone, and communications skills.
Ability to work independently without direct supervision.
Valid Texas driver's license and driving record at the time of hire which would not place the employee on probation, or disqualify the employee from Certified Fleet Operator Status, under the company Driving and Safety Policy.
PHYSICAL REQUIREMENTS
Occasional long, irregular work hours.
Travel, occasionally overnight, as required.
Repeated use of PC, telephone, and office equipment.
Extended periods of sitting and concentrating.
Occasional bending, twisting, crouching, pulling, pushing and reaching in an office environment.
Occasional lifting and moving items weighing up to 30 lbs.
