We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support attorneys in a fast-paced legal environment. The ideal candidate will serve as a critical partner in managing daily operations, ensuring efficient workflow, and maintaining the highest level of professionalism and confidentiality.
Key Responsibilities- Calendar Management: Manage complex attorney calendars, including scheduling meetings, court appearances, depositions, and deadlines; proactively resolve scheduling conflicts.
- Email Correspondence: Monitor and manage attorney email inboxes; draft, review, and respond to correspondence in a professional and timely manner.
- Client Communication: Serve as a primary point of contact for clients; handle communications with discretion, professionalism, and responsiveness.
- Document Preparation & Management: Prepare, edit, and proofread legal documents, pleadings, correspondence, and reports; ensure accuracy and compliance with formatting requirements.
- Deadline & Docket Management: Track court deadlines, filings, and case milestones; ensure attorneys are fully prepared and informed of upcoming obligations.
- Meeting & Travel Coordination: Schedule and coordinate meetings, including preparing agendas and materials; arrange travel and accommodations as needed.
- Administrative Support: Maintain organized filing systems (electronic and physical); assist with billing coordination, time entry, and expense reporting.
- Confidentiality & Discretion: Handle sensitive and privileged information with the utmost confidentiality and professionalism.
- Process Improvement: Identify opportunities to improve administrative processes and increase efficiency within the firm.
- Strong understanding of legal terminology, procedures, and court systems is preferred.
- Exceptional organizational and time-management skills.
- Excellent written and verbal communication skills.
- High level of discretion, professionalism, and attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Ability to multitask, prioritize, and work independently under pressure.
