What We Are Looking For
Baylor University is seeking an Assistant to the Executive Director in the Baylor Center for Disability and Flourishing. The Assistant to the Executive Director provides high‑level administrative, operational, and strategic support to the Executive Director of the Baylor Center for Disability and Flourishing. This role ensures effective coordination of the Executive Director’s priorities, communications, and engagements across campus, community, and national partners.
The position supports scheduling, travel, meetings, correspondence, donor relations, and records while anticipating needs that enable the Executive Director to lead a growing Center effectively.
An Associate's degree and four years of relevant work experience are required. A Bachelor's degree and five years of relevant work experience are preferred. A combination of education and experience will be considered in lieu of one another.
All applicants must be currently authorized to work in the United States on a full‑time basis.

The Baylor Center for Disability and Flourishing advances research, training, outreach, and clinical services that promote the flourishing of people with disabilities, their families, and communities. Within this work, the Assistant to the Executive Director plays a vital role in enabling the leadership and effectiveness of the Center. We are seeking a highly organized, relational, and proactive professional who can anticipate needs, manage complexity, and create the conditions that allow the Executive Director to focus on the Center’s highest priorities. The ideal candidate brings strong judgment, attention to detail, and a spirit of service.

- Manage the Executive Director’s calendar, appointments, meetings, and engagements
- Prioritize and coordinate scheduling requests across campus, community, and national partners
- Organize logistics and ensure appropriate preparation and follow‑up for meetings and engagements
- Prepare agendas, materials, and background documentation
- Serve as the primary administrative contact for the Center, welcoming visitors and responding to inquiries
- Coordinate daily office operations, shared calendars, and administrative systems
- Maintain orderly office processes and documentation to support staff and programs
- Assist with drafting, reviewing, and coordinating correspondence and communications on behalf of the Executive Director
- Help manage incoming correspondence, maintain key contact list, records, and administrative documentation
- Facilitate timely responses to partners and stakeholders
- Support internal communications, meeting materials, and shared files to ensure seamless collaboration
- Coordinate logistics for meetings, events, and gatherings, including scheduling, space reservations, and materials
- Manage travel arrangements, itineraries, reimbursements, and documentation for the Executive Director and selected staff
- Ensure efficient planning of travel related to conferences, partnerships, and Center initiatives
- Support hospitality and logistical needs associated with Center needs
- Assist with purchasing requests, reimbursements, contracts, and expense documentation in compliance with university policies
- Maintain accurate administrative and financial records
- Provide administrative support for Center projects, programs, and research initiatives as needed
- Perform all other duties as assigned to support Baylor’s mission
- Ability to comply with university policies
