About the Role:
We are looking for a proactive and detail-oriented Client Services Coordinator to support one of our largest nationwide clients. This role is responsible for managing incoming calls, project communication, and ensuring smooth support for multiple projects across the U.S. The ideal candidate thrives in a fast-paced environment, delivers excellent client service, and can manage communication across multiple stakeholders and locations.
Key Responsibilities:
- Act as the main point of contact for incoming client calls and inquiries related to nationwide fire and safety projects.
- Provide timely and accurate information while ensuring a professional client experience.
- Track, document, and route client requests to the appropriate internal teams for follow-up and resolution.
- Coordinate communication between project managers, field teams, and client representatives.
- Maintain up-to-date project records, status reports, and client documentation.
- Schedule and organize project-related calls, meetings, and updates across multiple time zones.
- Monitor ongoing projects, flagging issues, delays, or changes to stakeholders as needed.
- Support leadership with administrative tasks related to account management and project oversight.
- Contribute to continuous improvement of client communication and service processes.
- 1-2 years of experience in client services, project coordination, or administrative support (fire/safety, construction, or facilities background a plus).
- Strong communication and relationship-building skills with the ability to interact professionally at all levels.
- Highly organized with excellent follow-through and the ability to manage multiple projects simultaneously.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with CRM or project management systems is a plus.
- Strong problem-solving skills and the ability to remain calm under pressure.
- Comfortable working in a fast-paced, client-focused environment with nationwide reach.
