Job Summary
We are seeking a dynamic and highly organized Office Manager/Administrative Assistant to join our team! This energetic role is vital in maintaining a smooth, efficient office environment while providing exceptional support to staff, clients, and visitors. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. You will manage daily administrative operations, oversee front desk responsibilities, coordinate schedules, and ensure the office runs seamlessly.

- Greet visitors and manage the front desk with professionalism and warmth, creating a welcoming atmosphere.
- Answer multi-line phone systems promptly, directing calls efficiently and courteously while practicing excellent phone etiquette.
- Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office and Google Workspace tools.
- Handle data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records.
- Maintain office supplies inventory, place orders as needed, and oversee general office management tasks to keep the workspace functional.
- Support bookkeeping activities using Quick Books or similar accounting software; assist with invoicing and expense tracking.
- Provide customer support by responding to inquiries via phone or email, ensuring excellent service at all times.
- Assist with personal assistant duties such as calendar management for executives or staff members as required.
- Proven experience in office management or administrative roles with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy.
- Experience handling multi-line phone systems and practicing professional phone etiquette.
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Bilingual abilities are highly desirable to communicate with diverse clients and team members.
- Familiarity with Quick Books for bookkeeping tasks is preferred; experience with data entry, filing, proofreading, and calendar management is essential.
- Previous experience in customer service or medical/dental receptionist roles is a plus.
- Excellent interpersonal skills with a friendly demeanor; ability to support a busy office environment while maintaining professionalism.
