Job Description
Baylor University is seeking an Office Manager to support the Academy for Teaching and Learning (ATL) through comprehensive administrative, financial, and operational functions. This position integrates office management and budget management functions, ensuring efficient coordination of day-to-day operations, event logistics, and fiscal oversight. The Department Business Manager plays a critical role in supporting the ATL's mission to foster a flourishing community of learning by managing communications, budgets, staff support, and event coordination in alignment with university policies.
An Associate's degree and three years of relevant work experience are required. A Bachelor's degree and five years of relevant experience are preferred. A combination of education and experience will be considered in lieu of one another. All applicants must be currently authorized to work in the United States on a full-time basis.
What You Will Do
- Oversee day-to-day operations of the ATL office, including communication with faculty, staff, and students; managing correspondence, scheduling, and meeting logistics; maintaining the Director's calendar; coordinating travel arrangements; and ensuring smooth functioning of all administrative systems
- Plan, organize, and execute annual, recurring, and periodic ATL events and programs including seminars, workshops, and meetings
- Manage reservations, catering, communications, and participant coordination
- Prepare and distribute materials for ATL events, newsletters, and publications
- Maintain Canvas sites and secures recording waivers for programs
- Oversee four budget lines (General Operating, Summer Faculty Institute, University Teaching Development Grant, and Faculty Excellence Fund)
- Prepare, track, and reconcile budgets; processing requisitions, purchase orders, and pay vouchers; manages stipends, honoraria, faculty expense reports, and student payroll; and generates reports for University Teaching Development Grant oversight
- Update and maintain the ATL website, handle the periodic "Friends of the ATL" email communication, and work with campus partners on a large data tracking dashboard system with university IT
- Supervises student employees and graduate assistants, approves timesheets, and coordinates submissions for hiring, payroll, and separations
- Assist with procurement, capital requests, and personnel transactions through appropriate systems
- Perform all other duties as assigned to support Baylor's mission
- Ability to comply with university policies
- Maintain regular and punctual attendance
