Job Duties
The Executive Administrator provides comprehensive administrative support to senior leadership, including calendar management, email correspondence, meeting coordination, and task tracking. The ideal candidate demonstrates exceptional customer service, strong critical thinking skills, attention to detail, and advanced proficiency in Microsoft Office applications, particularly Outlook, Excel, PowerPoint, and Word. This role requires the ability to analyze and interpret data, create professional reports and presentations, manage leadership priorities, and maintain organized action-item and manager task lists.
Candidates may be asked to provide samples of previous work demonstrating their Microsoft Office capabilities.
Summary:
Provide support in a multitude of way to a Company executive in order to enhance the Company's effectiveness and best service Company clients and employees.
- Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Attend meetings in the executive's absence and delivering and receiving messages on executive's behalf.
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
- Maintains customer confidence and protects operations by keeping information confidential.
- Prepares reports by collecting and analyzing information.
- Completes projects by assigning work to clerical staff; following up on results.
- Secures information by completing data base backups.
- Maintains and verifies office supplies inventory.
- Ensures operation of equipment by completing preventive maintenance requirements; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
- Contributes to team effort by accomplishing related results as needed.
- Performs other duties as assigned.
