The Clinic Referral Clerk is responsible for coordinating patient referrals to specialists, diagnostic services, and other healthcare providers. This role serves as a liaison between patients, providers, insurance companies, and referral offices to ensure timely scheduling and continuity of care. The ideal candidate is organized, compassionate, and able to manage multiple priorities in a fast-paced healthcare environment.

Essential Duties and Responsibilities:
  • Process incoming and outgoing patient referrals accurately and efficiently.
  • Coordinate appointments with specialists, diagnostic facilities, and ancillary services.
  • Obtain and verify insurance authorizations and pre-certifications as required.
  • Communicate referral information, appointment details, and instructions to patients.
  • Maintain accurate referral records within the electronic medical record (EMR) system.
  • Track referral status and follow up to ensure completion of referrals and receipt of consultation reports.
  • Collaborate with providers, nursing staff, and outside healthcare organizations to facilitate patient care.
  • Verify patient demographics, insurance information, and provider documentation.
  • Assist with medical records requests related to referrals when necessary.
  • Answer incoming calls and respond to inquiries regarding referral status and scheduling.
  • Ensure compliance with HIPAA and patient confidentiality standards.
  • Perform other clerical and administrative duties as assigned.
Requirements
  • High school diploma or equivalent preferred.
  • Medical office, healthcare administration, or related training preferred.
  • Previous experience in a medical office, clinic, referral coordination, scheduling, or healthcare administration preferred.
  • Experience with insurance verification and prior authorizations preferred.
  • Experience using electronic medical records (EMR) systems preferred.
