Rehab Office/Patient Access Specialist - Medina, OH & Wadsworth, OH (Biotech) Position Summary
The Rehabilitation Office Specialist is the first point of contact. This position greets patients, completes check‑in/check‑out process; patient registration, appointment scheduling and medical records functions. Provides good customer service to our patients and works well as part of a team.
Essential Job Functions/Accountabilities- Greets patients and completes check‑in/check‑out process; answers patients' general questions.
- Completes patient registration; ensures that proper patient forms are complete, current and entered into the computer.
- Verifies patients' insurance coverage for OT/PT services and obtains and processes authorizations.
- Builds cases within the Electronic Medical Record (EMR) for insurance and authorization tracking; tracks signatures of external referrals for PT/OT through EMR per insurance requirements; monitors desktop within EMR for CCOC physician signatures on evaluations; tracks cancellations and no‑shows within the EMR and visit record sheet.
- Reviews charts when discharged and assures accurate completion of necessary requirements; complies with Medicare and Joint Commission (JC) in documentation; works with Managed Care Organization and Workers Compensation Department.
- Coordinates with referring physicians staff and obtains DME script; verifies DME benefits; educates patient on DME benefits and patient responsibility; collects monies as appropriate; posts payment in Cerner; scans DME paperwork into a file for reconciliation; collects DME surveys.
- Answers telephone calls promptly to service callers' needs within an adequate time; coordinates phone conversations with clinical staff and external partiesn
- Maintains filing system, orders and maintains office supplies; provides back‑up coverage for all satellites.
- Must be able to handle high patient volume.
- All other duties not specifically assigned.
- Education:
High School Diploma or GED required;
Bachelor’s degree preferred. - desk experience in a medical office preferred.
- Technical
Skills:
Excellent computer skills and knowledge of office equipment required; experience with Microsoft Office products (Word, Excel, Outlook). - Certifications/Licenses/Registrations: N/A
