Role Description:
This opening is for a Legal Administrative Assistant and is based on-site at Cain Herren & McKelvey in Wailuku, HI (paid parking included). The idea candidate can develop creative solutions with staff and interact with a diverse group of clients. The responsibilities include providing administrative and clerical support to the legal team, assisting with the preparation of legal documents, organizing and maintaining files, and managing communications with clients and external parties.
The role also involves scheduling appointments, coordinating meetings, and ensuring the smooth operation of daily office activities.
Qualifications:
- Background in Law and experience with Legal Document Preparation is a plus
- Strong Communication skills for interacting with clients and team members
- Proficiency in Administrative Assistance and Organization Skills
- Ability to manage time effectively and maintain confidentiality in all tasks
- Proficiency with office software and legal research tools considered a plus
- Previous experience in a legal or administrative role is preferred
Key Responsibilities:
- Communication Meet regularly with attorneys to plan next steps, upcoming tasks, and ensure client expectations are met.
- Detail Oriented Have the ability to track deadlines, manage calendars, and support case preparation for hearings, trials, or mediation.
- Prepare Draft Documents Organize case materials and upload to clients digital file. Keep documentation and case files updated in real time to support team-wide visibility.
- Deadlines Calendar deadlines to keep cases moving efficiently and ensure clients are prepped for hearings, mediation, and depositions.
- Client Support Work alongside attorneys and support staff to respond to and resolve client inquiries. Ensure that the client communication aligns with current case status and next steps. Calm Approach The ability to work with people under difficult circumstances and maintain a calm structured approach even in high-pressure situations.
- Trial Preparation Proficiency in typing, spelling, grammar, and proofreading skills. Ability to organize and create necessary amount of documents and exhibits to present in court.
