Summary

The Human Resources Coordinator is responsible for managing payroll-related tasks and supporting HR functions to ensure smooth operations and compliance with relevant laws. This role includes processing payroll, managing employee records, overseeing recruitment, and handling new hire onboarding. The ideal candidate is detail-oriented, proactive, polished, and skilled in both payroll systems and talent management strategies. Additionally, this role emphasizes innovation and continuous improvement to streamline processes and enhance operational effectiveness.

Compensation
: $53,000-$62,000 based on experience.

Responsibilities
  • Payroll Management
    • Process bi-weekly payroll, verifying hours, calculating overtime, retro pay, bonuses, and benefit deductions.
    • Resolve payroll discrepancies promptly and maintain accurate payroll records.
    • Update HRIS (e.g., ADP Workforce Now) with payroll-related notes, incentives, allowances, and other adjustments, inclusive of all employee rate changes.
    • Generate and upload bi-weekly payroll reports, ensuring data accuracy and compliance.
    • Responsible for all missed punches, sending appropriate communications to employees, and ensure proper coaching as necessary.
    • Communicate payroll processing updates, especially during holiday weeks, to the payroll team.
    • Maintain HR signature messages and ADP portal notifications related to payroll schedules.
    • Manage year-end payroll processes, including W2 preparation and distribution.
    • Oversee Affordable Care Act (ACA) compliance, including tracking and reporting employee eligibility and hours (within ADP).
    • Ensure compliance within payroll for 401k including employee contributions auto enrollments, and biweekly TPA & Record Keeper file balancing.
    • Focus on process improvements to streamline payroll operations, reduce errors, and enhance efficiency.
  • HR Initiatives & Compliance
    • Ensure timely movement of I-9s to the terminated folder post-employment.
    • Respond to employment verification requests promptly and accurately.
    • Support company-wide HR initiatives, including compliance training and policy updates.
    • Ensure adherence to federal, state, and local employment laws and regulations.
    • Stay informed about changes in employment laws and HR best practices and share insights with the team.
    • Perform bimonthly I-9 audits to ensure compliance requirements are met.
  • Recruitment & Onboarding
    • Oversee recruitment efforts for exempt and non-exempt roles, including job posting, candidate screening, and interview coordination.
    • Collaborate with Department Managers to fulfill staffing needs and develop recruitment strategies.
    • Ensure timely completion of new hire paperwork (offer letters, background checks, OIG checks, i9 verification, etc.).
    • Keep the Monday board updated on new hire progress to ensure manager visibility.
    • Ensure all new hires are hired into Employment Navigator and complete all necessary onboarding steps.
    • Manage the new hire process in ADP and ensure all documents are stored in the employee’s file.
  • HR Inquiries & Reporting
    • Respond to general HR inquiries from employees via inbox, phone, and text messages in a timely and professional manner.
    • Run monthly sales and payroll reports as needed to support business operations.
    • Analyze trends in HR inquiries and proactively address recurring questions.
  • Additional Duties
    • Contribute to HR and payroll-related projects as required.
    • Participate in HR seminars, company meetings, and fun committee events.

Education, Experience & Key Skills

Education/

Experience:

Combination of relevant education and work experience in HR and payroll functions. Payroll certification is preferred but not required with equivalent experience. Proven experience with ADP Workforce Now. Strong knowledge of multi-state payroll processing and labor laws. Familiarity with full-cycle recruiting and onboarding processes.

  • HR Software Expertise
    :
    Hands-on experience with HRIS (e.g., ADP Workforce Now) and proficiency in Microsoft Teams and Google Suite.
  • Labor Legislation & Payroll Process Knowledge
    :
    Strong understanding of multi-state payroll laws, compliance, and the full-cycle recruiting process.
