We are seeking an Operations & Inventory Specialist (part-time, 25 to 30 hrs per week) to join our team in Wake Forest, NC, at the earliest possible start date.
The positionYou support our daily operations with a focus on inventory management, order processing, and logistics coordination. You will work closely with our Operations and Inventory Department in Germany and coordinate with external warehouses. You ensure smooth workflows, maintain accurate stock levels, and help execute orders efficiently and on time.
With your structured, reliable, and hands‑on approach, you contribute to effective operations and support our overall business objectives.
- Enter and process customer orders in Shopify accurately and in a timely manner
- Monitor inventory levels regularly and ensure alignment with defined minimum stock levels
- Track and reconcile inventory, including field stock and external warehouse inventory
- Proactively communicate reorder needs and potential shortages
- Coordinate inbound shipments with suppliers and warehouse partners
- Ensure orders and shipments are executed on time and follow up on delays
- Create and manage purchase orders in alignment with management
- Track supplier confirmations and delivery timelines
- Inform relevant stakeholders in advance about incoming shipments
- Support invoicing processes in coordination with finance
- Support documentation, SOP execution, and operational processes (including QARA-related support where applicable)
- Assist with general operational tasks (e.g., inventory counting, shipping documentation, returns handling)
- Provide customer call coverage and administrative support as needed
- Experience in operations, logistics, or inventory management
- Structured and detail-oriented working style
- Strong organizational and coordination skills, hands‑on and proactive mindset and strong communication skills.
- Ability to work independently in a small team environment
- Experience with systems such as Shopify, Excel, and ERP/accounting tools
- Basic understanding of finance processes
