Summer Program Administrative Assistant
Reading Public Schools is a vibrant and inclusive educational institution dedicated to providing a nurturing and enriching environment for our students. As part of our commitment to children's health and well-being, we are seeking a dedicated Summer Program Administrative Assistant to join our team.
The Summer Program Administrative Assistant provides administrative and operational support for the Reading Public Schools Food & Nutrition Services Summer Meal Programs. This position assists with the coordination and administration of summer meal operations, including customer service, online meal ordering, payroll support, accounts payable processing, program documentation, and communication with families and community partners.
The Summer Program Administrative Assistant plays a critical role in ensuring the successful operation of the district's Summer Food Service Program (SFSP), camp meal programs, and related summer nutrition initiatives.
Key Essential Duties and Responsibilities:
- Provide administrative support for all Summer Food & Nutrition Services operations.
- Assist with processing and submitting payroll information through Munis.
- Support accounts payable activities, including invoice collection, tracking, and processing.
- Monitor and assist with online meal ordering systems for summer camps and community programs.
- Respond to inquiries from families, parents, community partners, and program participants regarding summer meal services.
- Maintain accurate records and documentation required for federal and state summer meal programs.
- Assist with daily meal count reporting and operational recordkeeping.
- Support communication efforts related to summer meal sites, camp meal programs, and community outreach initiatives.
- Prepare correspondence, reports, spreadsheets, and other administrative documents as needed.
- Coordinate information between Food & Nutrition Services staff, community partners, and district departments.
- Assist with scheduling, filing, data entry, and general office operations.
- Maintain confidentiality of payroll, personnel, and program-related information.
- Perform other duties as assigned by the Director of Food & Nutrition Services.
- High school diploma required, associate's degree or higher preferred.
- Previous administrative, clerical, payroll, bookkeeping, or office experience preferred.
- Strong organizational and time-management skills.
- Proficiency with Microsoft Office Suite, Google Workspace, and data entry systems.
- Ability to work independently while managing multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills.
- Experience working with payroll systems, financial software, or municipal systems preferred.
- Ability to maintain confidentiality and professionalism in all aspects of work.
- Strong attention to detail and accuracy.
- Ability to manage multiple projects simultaneously.
- Excellent customer service and interpersonal skills.
- Ability to communicate effectively with staff, families, community partners, and district personnel.
- Strong problem-solving and organizational abilities.
- Ability to learn district software platforms and operational procedures.
- Primarily administrative work involving frequent use of computers, telephones, and standard office equipment.
- Frequent sitting, standing, walking, reaching, and repetitive hand movements associated with computer and clerical work.
- Work may be performed across various district and program locations as needed to support summer operations.
- Occasional visits to meal production facilities, distribution sites, community meal locations, and program partners.
- Schedule may vary based on operational needs and may require flexibility in work location, hours, and availability to support summer program activities and customer service needs.
This temporary seasonal position is funded entirely through Summer Food & Nutrition Services Program revenues and is contingent upon the continuation of summer program operations.

Employment Status
