Position

Summary

The HR Operations and Systems Specialist helps keep employee data accurate and HR processes running smoothly, from data and records management to recurring reporting, audit, and compliance support, and account reconciliations. You'll split your time between employee-facing coordination and behind-the-scenes financial and data work. This role is a great fit for someone who takes pride in precision, enjoys solving problems before they become bigger issues, and wants a role where their attention to detail genuinely matters.

You'll work daily in our Oracle HCM system to manage employee records and data, so comfort working in HR systems is important.

This is a hybrid position based primarily out of our Wakefield, MA office, working onsite 3 days each week. Regular time in our Brockton, MA office (2-3 days a month) is part of the role, with occasional visits to our Boston office as needed.

Key Responsibilities
  • Records and Data Management:Ensure data accuracy across HR systems. Maintain and correct employee organizational data in Oracle, including job codes, FLSA classifications, and seniority dates. Review information for accuracy and completeness, research discrepancies, and make or coordinate corrections as needed. Support employee records management, respond to requests for employee file documents, and perform quality-control reviews to help maintain accurate and complete employee records.

  • Reporting:Support recurring reporting needs across HR and the company.

    Prepare, validate, and distribute recurring weekly, monthly, and other scheduled HR reports. Gather and organize data from HR systems and other sources, review reports for completeness and accuracy, research discrepancies, and make or coordinate corrections before distributing.

  • Audit and Compliance Support:Support recurring HR audit and compliance activities, including gathering evidence and documentation, and following up on identified discrepancies.

    Track completion of the annual compliance course cycle and follow up on outstanding assignments. Ensure new employees complete required compliance training. Keep employment law posters current at every branch and office, ordering and distributing updates as needed.

  • Account Reconciliation:Audit and reconcile benefits-related general ledger accounts monthly and quarterly. Reconcile payroll funding accounts, identify and research variances, maintain supporting documentation, and partner with Benefits and Payroll teams to research and resolve discrepancies.

  • Administrative Support:Support recurring HR administrative activities and provide backup support for the HR Operations Coordinator.

Requirements

Education and Experience
  • High school diploma required;
    Associate's degree preferred

  • 3+ years of progressive HR operations, HR administration, or related experience.

  • Experience in an HR Shared Services environment is a strong plus.

Skills and Knowledge
  • Background in auditing, compliance activities, account reconciliation, bookkeeping or payroll/benefits reconciliation preferred.

  • Proficient with Microsoft Office (Outlook, Excel, PowerPoint)

  • Experience working within an HRIS platform;
    Oracle HCM experience preferred.

  • Ability to build strong working relationships and handle sensitive employee information with discretion.

  • Strong organizational skills and the ability to juggle competing priorities.

  • Clear, effective written and verbal communication.

  • Comfort with high-volume, detail-oriented work.

  • A sense of urgency and follow-through when solving problems.
