The File Clerk (OA) reports to the Chief Health Information Manager and serves as a File Clerk/Scanning Specialist at the Veterans Affairs (VA) Medical Center in Walla, WA. The employee will perform duties related to the receipt, intake, transfer, index and scanning of health records and administrative information. The File Clerk will assign the appropriate nomenclature to files for incorporation into the correct patient's record in the Computerized Patient Records System (CPRS).
QualificationsIn order to qualify for this position at the GS-4 level you must meet the following criteria:
- Typing proficiency: Ability to type at least forty (40) words per minute.
- General experience: One (1) year of general experience in progressively responsible clerical, office, or other work, with job title, duties, dates, and hours documented.
- Substitution of education for experience: Two (2) years of post‑high‑school education (e.g., in business, secretarial, or technical school) with transcripts submitted.
- Combination of experience and education: Equivalent combinations of education and experience meeting GS‑4 level requirements, with documentation and transcripts.
All applicants must meet the criteria fully documented with job title, duties, month/year dates, and hours per week. A full year of work is considered 35–40 hours per week. Volunteer work (including National Service programs) is credited if duties and hours are specified.

Indexing and scanning require repetitive keyboard entry and may cause repetitive motion injury. Tasks involve walking, bending/stooping, reaching, and standing for long periods. Records weighing 25–70 pounds are moved in boxes, requiring lifting additional equipment. The environment is a congested office setting with open shelves and card files. Back supports, carts, and wrist splints are available.
Work EnvironmentWork is performed in an office setting in Health Information Management. Employees must attend mandatory annual fire/safety protection classes. Due to protected health information, the specialist requires access credentials via a cipher lock with multiple digit access code.
