Position Summary

This position is responsible for scheduling clinical staff visits for a multi-disciplinary team of RNs, MSWs, LPNs, and Aides using a computer based scheduling program. This position is the main hub of support and communication for clinicians to ensure efficient and coordinated service delivery. The Scheduler coordinates and collaborates with clinicians of all disciplines, Patient Access staff, and managers to create smooth and accurate transfer of information to provide the highest level of patient care.

This is a clerical position responsible for utilizing appropriate lines of authority in a timely and effective manner. Performance is evaluated by the Manager.

Responsibilities
  • Provide an accurate daily schedule of clinical visits.
  • Schedule additional visits as patient needs develop; coordinate schedules considering caseload capacity, continuity of care, staffing levels, geographic areas, and individual clinical expertise to maximize efficiency, safety and quality of care.
  • Make adjustments as needed when staff call in sick, assigned low census, or are on vacation.
  • Support productivity requirements in developing patient visit schedules in the electronic scheduling system; communicate with staff regarding changes in schedules, coverage needs, patient volumes, and staffing levels to ensure efficient, effective, consistent patient coverage.
  • Communicate scheduling needs and coverage to managers; provide input and observations regarding day‑to‑day function of the department to managers.
  • Participate in planning and implementing activities to accomplish department goals and objectives.
  • Maintain confidentiality of all ministry, company, and patient information.
  • Ensure proper handling and disposal of confidential documents per Providence policies and HIPAA regulations.
  • Answer incoming telephone calls, address callers’ needs, or route calls correctly.
  • Use problem‑solving skills to address team issues and contribute to overall team functioning.
  • Seek guidance from manager for complaint issues and concerns.
  • Attend staff meetings, quality improvement activities, and in‑service training sessions assigned.
  • Complete all Health Stream modules within the assigned timeframe.
  • Participate in new staff or volunteer orientation and training as appropriate.
  • Work in accordance with the mission, vision, values, and standards of care.
  • Review daily patient visit records; edit and move visits accordingly based on clinical abilities, location, patient status, staffing levels, etc.
  • Complete data entry into EMR accurately and timely.
  • Communicate effectively with clinical staff regarding schedules, changes, and troubleshooting.
  • Escalate issues that require higher level or strategic input for problem resolution.
  • Represent the organization professionally on phone calls.
  • Participate in quality improvement activities and provide input for operational process improvements.
  • Support department with other general, administrative, and/or operational needs.
Education and Experience
  • Education:

    No requirement.
  • Preferred: 1 year of scheduling experience or clerical/data entry position using spreadsheets and databases.
  • Preferred:
    Experience in healthcare, hospice or home health industry.
Skills and Abilities
  • Mathematical:
    Add, subtract, multiply, divide; compute rates, ratios, percentages.
  • Language:
    Read, analyze, interpret business periodicals, professional journals, technical procedures, governmental regulations.
  • Writing:
    Ability to write reports, business correspondence, and procedure manuals.
  • Presentation:
    Effectively present information and respond to questions from leaders, team members, investors, and external parties.
  • Communication:
    Strong verbal and written communication skills; fluency in English required.
  • Computer:
    Proficiency in Microsoft Office (Word, Excel, Outlook); type proficiently; accurate data entry into databases; familiarity with spreadsheets, word processing, healthcare databases preferred; use standard office equipment including computers, telephones, copiers, fax machines.
  • Organization:
    Strong organizational skills; detail‑oriented; meet deadlines.
