Walla Walla Community College (WWCC) is seeking applicants for a part-time (50% FTE) TRIO Program Assistant at the Walla Walla campus.

General Responsibilities

The Program Assistant performs general administrative support for a federal grant-funded program that serves first-generation, low-income and students with disabilities (TRIO Student Support Services) for both the Walla Walla and Clarkston campuses. The position is located on the Walla Walla campus and reports to the Director of TRIO Student Support Services.

Essential Functions Administrative duties and recordkeeping
  • Process new student applications for TRIO:
  • Review for eligibility and completeness per grant requirements,
  • Determine eligibility and evaluate for criteria of numbers of participants to serve per each eligibility
  • Manage student database for participants, including recording and updating student files/records, record student attendance in TRIO activities
  • Budget and purchasing duties, including initiating purchasing requests and submitting monthly budget forms through ctcLink (college management system)
  • Produce reports from multiple database management systems (e.g. Student Access, ctcLink, National Student Clearinghouse)
  • Manage TRIO inventory, including coordinating textbook and technology loan program for student study materials
  • Assist with advertising and organization of TRIO activities (family nights, year-end event, career focus sessions, campus visits, workshops, etc.)
  • Promote events through TRIO communication streams
  • Coordinate with Marketing department for program materials, including social media
  • Organization of facilities and refreshments for TRIO events
  • Coordinates website updates with webmaster
Clerical duties
  • Assist with scheduling student advising sessions, communication, and daily appointment reminders
  • Reception-greet students in TRIO area, respond to questions, assist with area computers and printing
  • Coordinate travel for staff and students
  • Assists with hiring paperwork and processes payments for program, enters transaction and updates budget sheet.
Directs the activities of the work study student (or student worker)
  • Train and supervise student worker(s) to assist Program Assistant in file management, area maintenance, fill-in receptionist when the Program Assistant is out of the office and other duties as assigned by TRIO Director (based on availability).
  • Mentor in professional etiquette
