JOB TITLE:Registrar’s Office Student Assistant
PAY RATE:$17.13/hour
START DATE:09/01/2026
END DATE:End of 2026-27 academic year
The Registrar’s Office Student Assistant assists with greeting students, faculty, staff, and visitors to the Registrar’s Office, answering phones and emails, daily clerical duties, and tasks related to registration, record scanning, and transcript orders. This position assists with the maintenance of confidential student records, so the ability to handle documents with discretion and integrity is of the utmost importance.
PRINCIPLEACCOUNTABILITIES
- Administrative Support
- Provide friendly and professional front desk coverage during assigned hours.
- Answer phones, take messages, and direct calls or emails to appropriate staff.
- Greet students, faculty, staff, and all other visitors; ascertain the reason for their visit to determine staff best able to assist.
- Answer basic questions about registration, forms, upcoming deadlines.
- Maintain organized office spaces, restock supplies and forms, ensure common areas are tidy, and sensitive documents are filed or put away.
- Data & Office projects
- File, scan, and document organization (digital and physical).
- Process transcript requests: receiving, printing and/or downloading transcripts, mailing and emailing official and unofficial transcripts.
- Assist with Board of Review (BOR): adding petitions to agenda, maintain spreadsheet of BOR actions, draft meeting minutes.
- Complete enrollment verifications.
- Assist with Commencement list/diploma checking.
- Design and maintain bulletin board.
- Option to pursue tasks related to interests.
- Ability to maintain strict confidentiality and adhere to privacy policies (FERPA training provided).
- Reliable and professional with strong interpersonal skills.
- Organized and attentive to detail.
- Ability to manage multiple tasks and maintain focus with frequent interruptions.
- Ability to work independently and collaboratively with a team.
As a result of being in this position students will improve their customer service and organizational skills and learn about academic processes that the Registrar's Office oversees.
MINIMUM QUALIFICATIONS- Current Whitman Student
- Eligible for Federal, State, or Institutional Work Study
- Available to work 10 hours per week during Registrar’s Office hours (Mon-Fri, 8:30am-4:30pm)
- Basic proficiency with Microsoft Word, Excel, and Google Workplace (Docs, Sheets, Drive)
- Willingness to learn administrative systems and office operations
