Position Summary
The Document Control Assistant will support the Document Control team and Project Managers in delivering high-quality documentation for engineering projects. This role is responsible for organizing, processing, and distributing project documents while ensuring adherence to established standards, procedures, and workflows. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced, collaborative project environment.
Key Responsibilities- Assist the Document Control team and Project Managers in managing and delivering quality project documentation.
- Set up document control processes for multiple small projects and support medium to large projects as needed.
- Collaborate with team members to establish and maintain document control standards and procedures.
- Communicate document management system procedures to project team members.
- Coordinate documentation with multiple engineers to meet project requirements.
- Compile and maintain electronic project data books.
- Issue document transmittals to clients and vendors.
- Process and track vendor submittals.
- Package electronic documents for client, vendor, and internal distribution.
- Monitor document workflows to support project schedules and deliverables.
- Notify appropriate personnel of document issues or troubleshooting needs related to vendors or clients.
- Perform other duties as assigned.
- High School Diploma or GED required, with a minimum of 3 years of applicable experience. (Applicable experience may be substituted for the education requirement.)
- Proficiency in Microsoft Office, including Word, Excel, and Access.
- Strong and accurate data entry skills.
- Ability to understand, remember, and follow written instructions and guidelines.
- Ability to organize information and communicate clearly and effectively.
- Strong organizational and prioritization skills.
- Attention to detail and accuracy.
- Ability to analyze information, assess situations, and exercise sound judgment.
- Dependability and strong work ethic.
- Ability to adapt to changing priorities and manage multiple tasks.

- Basic numerical skills with the ability to count and verify data accurately.
- Strong interpersonal and communication skills to work effectively with internal teams, clients, and vendors.
