Position Summary

The Document Control Assistant will support the Document Control team and Project Managers in delivering high-quality documentation for engineering projects. This role is responsible for organizing, processing, and distributing project documents while ensuring adherence to established standards, procedures, and workflows. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced, collaborative project environment.

Key Responsibilities
  • Assist the Document Control team and Project Managers in managing and delivering quality project documentation.
  • Set up document control processes for multiple small projects and support medium to large projects as needed.
  • Collaborate with team members to establish and maintain document control standards and procedures.
  • Communicate document management system procedures to project team members.
  • Coordinate documentation with multiple engineers to meet project requirements.
  • Compile and maintain electronic project data books.
  • Issue document transmittals to clients and vendors.
  • Process and track vendor submittals.
  • Package electronic documents for client, vendor, and internal distribution.
  • Monitor document workflows to support project schedules and deliverables.
  • Notify appropriate personnel of document issues or troubleshooting needs related to vendors or clients.
  • Perform other duties as assigned.
Required Qualifications
  • High School Diploma or GED required, with a minimum of 3 years of applicable experience. (Applicable experience may be substituted for the education requirement.)
  • Proficiency in Microsoft Office, including Word, Excel, and Access.
  • Strong and accurate data entry skills.
  • Ability to understand, remember, and follow written instructions and guidelines.
  • Ability to organize information and communicate clearly and effectively.
