The Legal Billing Clerk is responsible for supporting the firm’s billing and collections processes by reviewing time entries, preparing and sending invoices, managing client payments, and maintaining accurate financial records. This role requires strong attention to detail, discretion with confidential information, and the ability to communicate professionally with clients regarding billing matters.
Key Responsibilities- Review and process a high volume of attorney time entries per month to ensure accuracy and completeness.
- Prepare and generate 300+ client invoices per month.
- Process and distribute invoices to clients in a timely manner.
- Manage collections activities, including client follow-up, payment processing, and documentation.
- Reconcile and maintain client trust accounts in accordance with firm policies.
- Enter and track client expenses in Clio.
- Manage and record Ramp expense transactions.
- Submit invoices to insurance companies for reimbursement and track payment status.
- Assist with resolving client billing disputes live while maintaining professionalism and composure.
- Maintain accurate billing records and documentation.
- Assist with minor financial reporting and budgeting tasks as needed.
- Ensure strict confidentiality of all financial and client information.
- High school diploma or GED required
- Legal billing or bookkeeping/minimal accounting experience required
- Previous law firm or legal office experience preferred
- Basic understanding of billing or accounting processes
- Experience with legal billing software, particularly Clio and Law Pay
- High attention to detail and strong organizational skills
- Ability to manage a high volume of invoices and billing tasks
- Strong communication skills for handling client inquiries and collections follow-up
- Ability to maintain confidentiality and professionalism
