Office Administrator/ Coordinator, Admin Assistant, Clerical
The City of Walnut Creek is seeking applicants to fill customer‑facing positions that administratively support and serve the Arts & Recreation Department. The Office Assistants will have the opportunity to work at multiple Arts & Rec facilities, including the Civic Park Community Center, Center for Community Arts, Bedford Gallery, Tice Valley Gym, and Heather Farm Community Center.
Reporting to the Office Specialist and Program Manager, Office Assistants will support the Department in a variety of programs, events and administrative duties including receptionist functions, registration of patrons for programs, and providing excellent customer service. This is a part‑time hourly, non‑benefited position with some schedule flexibility. Staff in this position work less than 20 hours per week on average over the span of a year.
The position may require working daytime, nights, and weekend shifts depending on facility and program needs. All work is done on‑site with no remote work options.
- Directly communicate with customers in person, through email and by phone;
- Demonstrate an understanding of Arts + Rec programs and interact with the public to provide information about Arts + Rec, to explain programs, classes, and events, to assist patrons in selecting programs and suggesting options suitable for their needs;
- Collect payments using a point‑of‑sales system;
- Register patrons into programs, classes and events, and process withdrawals and refunds;
- Operate a front desk station and monitor designated facility;
- Perform a variety of administrative functions to support the Arts + Rec Department;
- Assist in set up and breakdown of classrooms, events and sites;
- Assist in implementing, and facilitating event activities;
- Perform other duties as assigned;
- Minimum qualifications include High School Graduation or Equivalent.
- Clerical experience in a recreation‑office environment is preferred.
- On‑the‑job training will be provided.
- Outstanding people skills, with an outgoing, friendly personality, showing patience and excellent customer service skills;
- Ability to work independently and as a member of a team;
- Ability to multi task in a fast‑paced and ever‑changing environment;
- Adaptable with an openness to working with a team to support Arts + Rec programming for all;
- Highly organized and detail oriented;
- Excellent verbal and written communication skills;
- Technologically proficient with experience using Microsoft Word, Excel, Outlook, Canva, Google Suite, etc.
- Bending, stooping, standing, and sitting for long periods of time;
- Carrying, lifting, rolling, sliding, and maneuvering equipment such as large round and rectangular tables, chairs, and other equipment;
- Ability to lift equipment ranging from 15 to 25 pounds.
