Position SummaryWe are seeking a highly organized, trustworthy, and detail-driven Office Manager to oversee daily administrative functions, vendor relations, and operational workflow. This role requires an adaptable professional with exceptional foresight, capable of exercising sound judgment while handling confidential business matters.
The ideal candidate possesses strong written and verbal communication skills, brings order and clean structure to daily operations, and seamlessly anticipates operational and administrative needs.
Core Responsibilities- Executive Communication & Inbox Management: Monitor, filter, and draft correspondence for incoming email inquiries, serving as the primary administrative point of contact.
- Calendar Management & Event Logistics: Maintain complex scheduling, track critical business dates, schedule vendor appointments, and ensure optimal time management across operations.
- Financial & Expense Administration: Accurately track business expenditures, process supplier payments, reconcile receipts, and maintain clear financial records.
- Community Engagement: Evaluate, track, and process incoming community donation requests and manage external partner correspondence.
- Team Onboarding & Administrative Support: Coordinate administrative workflows for new team member onboarding, ensuring smooth documentation collection and orientation setup.
- Documentation & Records Management: Establish and maintain secure, meticulously organized digital and physical records, upholding strict confidentiality standards.
- Visual & Document Creation: Design, format, and update internal and external collateral using Canva
. - Operational Oversight & Workplace Standards: Ensure high standards of office organization, functional efficiency, and cleanliness throughout the workspace.
- Strategic Problem-Solving: Proactively identify process improvements, address operational bottlenecks, and execute special projects independently.
- Age Requirement: Must be at least 18 years of age.
- Experience: Prior administrative, office management, or executive support experience is highly recommended
. - Technical Proficiency: Mastery of Google Workspace (Gmail, Calendar, Drive, Docs, Sheets) and Canva
. - Organizational Excellence: Proven ability to manage competing priorities, maintain rigorous attention to detail, and meet deadlines consistently.
- Discretion & Integrity: Absolute trustworthiness in handling sensitive executive, financial, and organizational data.
- Proactive Disposition: High degree of self-motivation with a demonstrated ability to anticipate needs and resolve challenges independently.
- Professional Communication: Polite, articulate, and effective written and verbal communication skills.
- References: Candidates must provide three (3) total references

- Hours: 20–25 hours per week (Monday through Friday; exact daily schedule to be determined upon hire).
- Pay Rate: $25.00 per hour.
