Recruitment Coordinator
About The Role
We’re looking for a Recruitment Coordinator to support our growing team by keeping recruiting operations running smoothly—from scheduling and candidate experience to job postings, pipeline hygiene, and onboarding coordination. This role is for someone who is organized, people‑first, and excited to grow in Talent/People Operations.
You’ll report to our Senior Recruiter and work a hybrid schedule out of our Walnut Creek office. Because of the nature of this role—including time‑sensitive tasks, occasional last‑minute errands, extended in‑office collaboration, and periodic physical setups—regular onsite availability is required. Candidates living near the City of Walnut Creek will be prioritized.
What You’ll Do
Recruiting Coordination & Candidate Experience
- Coordinate interview scheduling across multiple calendars, time zones, and stakeholder groups
- Communicate with candidates professionally and promptly; ensure a high‑touch, polished experience
- Prepare interview details (Zoom links, onsite logistics, etc.) and send confirmations/reminders
- Track candidate progress through the interview process and help keep processes moving
- Create and edit templates for candidate communications
- Coordinate and own the recruiting matrix and reporting
- Conduct reference checks when needed
Job Posting & Pipeline Management
- Post roles across job boards, Linked In, and our careers page; manage reposting/refreshing as needed
- Maintain clean pipeline data in our ATS (stages, notes, tags, disposition reasons)
- Support the Senior Recruiter with candidate outreach coordination and follow‑ups
- Assist with collecting candidate feedback in a timely manner
Onboarding Support
- Coordinate onboarding logistics for new hires (ordering equipment, confirming start dates, initiating background checks, mailing new‑hire kits)
- Partner with hiring managers and People Ops to ensure a smooth Day 1 experience
- Help organize onboarding materials
Basic Office Support (Walnut Creek)
- Support light office operations: welcoming visitors/candidates, coordinating conference rooms, and keeping shared spaces organized
- Assist with ordering office supplies/food
- Assist with occasional in‑office tasks (mail/packages, supplies, basic coordination for office meetings & team onsite days, scheduling coordination with Co‑Founders & Leaders)
Growth Path / Ownership
- Over time, take responsibility to recruit select entry‑level roles (coordinating screens, supporting the offer process, and maintaining pipeline health)
- Opportunities to proactively source candidates
- Support HR & Recruiting projects such as process improvements, templates, reporting, and candidate experience initiatives
What We’re Looking For
- 1–3 years of experience in recruiting coordination, HR/People Ops, scheduling, or administrative support (or equivalent)
- Strong attention to detail and comfort juggling multiple priorities
- Clear, professional written and verbal communication
- High accountability and follow‑through—you like closing loops
- Comfortable using an ATS and Google Workspace (Docs/Sheets/Calendar); quick to learn new tools
- Positive, helpful presence—candidates and teammates enjoy working with you
Nice to Have
- Experience supporting onboarding or HR admin workflows
- Familiarity with sourcing platforms (Linked In Recruiter & Ashby) and job boards
- Experience coordinating onsite interviews and office logistics
Location & Work Model
- Hybrid minimum 2 days/week, more when needed, based out of Walnut Creek, CA
- Expect regular in‑office days to support interviews, onboarding, and team coordination
Compensation & Benefits
- Salary range: $82,000–$92,000
