Description
The Department of Developmental Services (DDS) has an excellent career opportunity for a highly motivated individual for an Office Support Specialist Iposition at the Newton/South Norfolk Area Office in Walpole, MA. This position supports the administrative functions and needs of the management team of the office.
Duties and ResponsibilitiesThis a summary and not a complete list of duties
- Maintain the main office space. Draft and analyze correspondence, responds to inquiries, data management, faxing, copying, and scanning documents.
- Operate standard office machines and equipment such as photocopiers, postage machine (including balance and updates), fax machine, computer, and any other equipment utilized in Area Office. Ensure ongoing functionality of equipment, trouble shoot as needed in addition to working with MIS/customer service. Assist in any new equipment rollout.
- Provide general support services to all staff in the Newton/South Norfolk office and act as an administrative assistant to the Area Director and Assistant Area Director, requiring a large degree of decision making and knowledge of functions of the Department.
- Answer telephones. File requests, provide routine information, and support staff in solving problems, finding resources, or getting assistance.
- Act as a liaison with internal and external agencies regarding the day-to-day operations of the Area Office.
- Prepare reports, create/maintain spreadsheets, and compile data using computer software/databases.
- Schedule and attend regular meetings as assigned by Area Office Management.
- Assist in the on-boarding of new hire ensuring all necessary equipment and supplies are provided and in working order.
- Manage office support functions including inventory, office supplies, and building issues.
- Manage assigned area projects including mass mailings and information gathering.
This is a full-time, 37.5 hour position.
Shift: 8:45am-5:00pm Monday-Friday.
Days Off:
Saturday and Sunday.
Flexibility required to meet the needs of the Area Office.
