A client of Innova Solutions is immediately hiring for an Executive Administrative Assistant.

Location

Waltham, MA 02451

Schedule
:
Monday–Friday, 7:00 AM – 4:00 PM

Duration
: 3 month temporary role

Job Description: Innova Solutions is seeking a highly organized and proactive Executive Administrative Assistant to support senior leadership with day-to-day operations, expense management, meeting coordination, and travel logistics. This role requires strong attention to detail, excellent communication skills, and proficiency in Microsoft Office tools—especially Excel, PowerPoint, and Teams.

Key Responsibilities
  • Expense Management
    :
    Track, reconcile, and submit expense reports; ensure timely approvals and compliance with company policy
  • Meeting Coordination
    :
    Schedule internal and external meetings, manage calendars, prepare agendas, and capture action items
  • Travel & Logistics
    :
    Book domestic and international travel, manage itineraries, and coordinate transportation and lodging
  • Document Preparation
    :
    Create and format PowerPoint presentations, reports, and executive summaries with consistent indentation and layout standards
  • Data Handling
    :
    Maintain and analyze spreadsheets in Excel; generate reports and dashboards as needed
  • Communication & Collaboration
    :
    Serve as a liaison across departments using MS Teams for messaging, file sharing, and virtual meetings
  • Office Support
    :
    Assist with general administrative tasks, including filing, ordering supplies, and maintaining organized records
Qualifications
  • 3+ years of experience in executive or administrative support
  • Proficiency in Microsoft Excel
    , Power Point , and Teams
  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • Ability to manage multiple priorities in a fast-paced environment
  • Discretion and professionalism when handling confidential information
Pay Range and Benefits

Pay Range*:
Between $65k - $80k per year. * Pay range offered to a successful candidate will be based on several factors, including the candidate's education, work experience, work location, specific job duties, certifications, etc.
