The Clerk III assists MRS and the Business Office with a variety of administrative tasks, including but not limited to the below.
Duties and Responsibilities (this list is a general summary and not all-encompassing)
* Files material such as correspondence, reports, applications, meeting minutes, bills etc. as requested by supervisor.
* Answers telephones. files requests, provides routine information, supports staff in solving problems, finding resources, or getting assistance.
* Prepares, creates and maintains files of forms which are standard for MRS/the Business Office to conduct day to day business. Completes standard forms as requested.
* Serves as main point of contact for receipts collection from MRS homes and turns them in timely to the Business Office.
* Makes calculations and codes receipts according to the classification handbook and responsible for reconciling discrepancies and independently.
* Acts as liaison between MRS and the Business Office. Follows up with MRS homes on documentation as needed in a prompt and professional manner.
* Requests Purchase orders in FMIS and uploads the necessary backup
* Assists and provides backup with the vendor service requests. Ex:
Ricoh, Ready Refresh, WB Mason, etc.
* Receives and distributes mail, memoranda, packages, and copying.
* Operates standard office equipment; such as; computers, copy machines, fax machines and ensures they are maintained and cleaned.
* Schedules the conference room, coordinates meetings, interviews and appointments.
* Makes calculations and code receipts according to prescribed formulas for the purpose of processing documents
* Notifies appropriate parties, orally or in writing, of information as requested
Qualifications
* Ability to understand, apply and to explain, rules, policies, and procedures governing MRS/the Business Office
* Able to use proper grammar, punctuation and spelling
* Ability to follow written and oral directions
* Ability to assemble items of information in accordance with the established procedures
* Ability to work with names, numbers, codes and/or symbols
* Ability to file material in accordance with the standard filing procedures
* Ability to maintain accurate records
* Knowledge of clerical office practices and procedures including office record keeping, office correspondence control, the types and uses of office equipment and supplies and business letter preparation.
* Skill in operating office equipment
* Ability to perform arithmetical computations with speed and accuracy
Please Note:
This is Full-time, 37.5 hour position.
Shift: 8:45am - 5:00pm
Days Off:
Saturday and Sunday
Flexibility required to meet the needs of the Regional Office.
