Job Overview
Department of Developmental Services (DDS) is seeking a Clerk III to provide clerical support for Metro Residential Services (MRS) and the Metro Region Business Office at its Waltham Metro Regional Office. The role involves administrative tasks such as filing, telephone handling, receipt management, data entry, and meeting coordination to support 20 group homes for adults with disabilities.
Responsibilities- File materials such as correspondence, reports, applications, meeting minutes, bills, and other documents as requested by supervisor.
- Answer telephone calls, file requests, provide routine information, and support staff in solving problems and finding resources.
- Prepare, create, and maintain standard forms and files for MRS and the Business Office.
- Serve as the main point of contact for receipts collection from MRS homes and turn them in to the Business Office in a timely manner.
- Make calculations and code receipts according to the classification handbook, and reconcile discrepancies independently.
- Act as liaison between MRS and the Business Office, following up with MRS homes on documentation promptly and professionally.
- Request purchase orders in FMIS and upload the necessary backup.
- Assist with and provide backup for vendor service requests (e.g., Ricoh, Ready Refresh, WB Mason).
- Receive and distribute mail, memoranda, packages, and manage copying functions.
- Operate standard office equipment such as computers, copy machines, and fax machines, ensuring they are maintained and cleaned.
- Schedule conference rooms, coordinate meetings, interviews, and appointments.
- Ability to understand, apply, and explain rules, policies, and procedures governing MRS and the Business Office.
- Proficiency in proper grammar, punctuation, and spelling.
- Ability to follow written and oral directions.
- Ability to assemble information according to established procedures.
- Skill in working with numbers, codes, and symbols.
- Ability to file material in accordance with standard filing procedures.
- Experience in clerical office practices including record keeping, correspondence control, office equipment use, and business letter preparation.
- Skill in operating office equipment.
- Ability to perform arithmetical computations with speed and accuracy.
Full‑time, 37.5 hours per week. Shift: 8:45 am – 5:00 pm. Days off:
Saturday and Sunday. Flexibility is required to meet the needs of the Regional Office.
