Job Description
Addison Group is partnering with a growing pharmaceutical organization seeking a professional and highly organized Receptionist to support daily office operations. This individual will serve as the first point of contact for visitors while coordinating front office activities, facilities support, and executive administrative functions. The ideal candidate thrives in a fast-paced environment, is proactive, and enjoys providing exceptional customer service.
Responsibilities- Welcome and assist visitors, clients, and vendors while maintaining a professional front desk experience.
- Manage visitor check-in procedures, security badging, and visitor logs.
- Coordinate conference room scheduling, meetings, catering, and visitor logistics.
- Support daily office and facilities operations, including vendor coordination and maintenance requests.
- Manage office supplies, inventory, and ordering processes for office and laboratory operations.
- Receive, log, and distribute incoming deliveries while coordinating outgoing shipments.
- Serve as the primary point of contact for day-to-day office operational requests and issue resolution.
- Provide executive administrative support, including scheduling, calendar coordination, and special projects.
- Assist with employee onboarding logistics and general office coordination.
- Maintain confidential information with professionalism and discretion.
- Minimum of 1 year of experience in reception, office administration, facilities, or office operations.
- Excellent interpersonal, customer service, and communication skills.
- Strong organizational skills with the ability to prioritize multiple responsibilities independently.
- Ability to handle confidential and proprietary information with discretion.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Experience with ERP or receiving systems is preferred but not required.
- Self-motivated with the ability to anticipate needs and adapt in a dynamic, growing organization.
