Sr. Department Coordinator, Vice President for Student Affairs Office

Exciting opportunity available supporting the Vice President of Student Affairs Office (VPSA)!

Brandeis University is seeking a highly organized, service-oriented professional to perform a wide variety of administrative and clerical tasks for the Vice President of Student Affairs Office (VPSA). Assignments for this role are varied, and include routine to complex, nuanced administrative duties.

About the Role

In this role, you will support day-to-day departmental operations, assigned projects, event and presentation support, scheduling and calendar management, point of contact for office visits and outreach, and collaborating with university personnel and external stakeholders as needed. You will apply an in-depth knowledge of University contacts, processes and procedures.

Key Responsibilities:
  • Performs a variety of routine to complex administrative duties, e.g., ordering supplies, obtaining signatures, vendor creation, processing payments, booking travel, and managing expense requests. May prepare packets of information, create meeting minutes, and other information for targeted audiences with minimal direction.
  • Coordinates and schedules a wide variety of nuanced, high impact meetings and events, with responsibility for all related logistics with minimal direction. Maintains calendars for the VPSA team.
  • Maintains appropriate databases, e.g., divisional staff listservs, reports, and effectively tracks email responses, expenses, and other inquiries to the VPSA Office etc. Maintains Student Affairs website and ensures related information is accurate and current.
  • Independently provides complex administrative support for a variety of projects using Excel, PowerPoint, MS Office and other applications to generate reports, summaries and presentations.
  • Acts as a front-line resource to greet visitors to the office, respond to questions about departmental/divisional operations, and applying in-depth knowledge of Student Affairs and University processes and procedures. Builds effective, collaborative working relationships across campus to accomplish objectives and manages inquiries from faculty, students, staff, university administration, and external constituents.
Education
  • High School diploma or GED required
  • Associate's or Bachelor's degree preferred
Experience
  • 1–3 years of administrative or coordination experience
  • Experience in higher education preferred
Technical

Skills:
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Experience with collaboration tools such as Google Workspace, Zoom, Box, or similar platforms
  • Familiarity with calendar management systems
