Job Summary
We are seeking an Import Administrative Assistant for a temp-to-hire opportunity in Waltham, MA. This role is ideal for an organized administrative professional with import, trade compliance, shipping documentation, and Excel experience who enjoys supporting both office operations and logistics-related workflows. This is a strong opportunity for someone who wants to build long-term stability in an administrative support role connected to global trade, compliance, and logistics operations.
Key Responsibilities- Provide administrative support including routing documents for signatures, meeting planning, scheduling, presentations, calendar management, mail, supply ordering, and general office coordination.
- Review, identify, and organize shipping and import documentation such as Commercial Invoices, Packing Lists, and 7501 Entry Records.
- Assist with HTS classification updates, rationale documentation, ERP data entry, and product record retrieval for Duty Drawback efforts.
- Create Duty Drawback entry packages for Customs review and retrieve entry records from broker portals.
- Support Customs broker inquiries, logistics package tracking, and basic shipment tracking responses.
- Use Excel to extract, organize, and analyze data, including support for KPI reporting.
- Pay rate: $28 to $30 per hour.

Hybrid schedule with 2 days in office, typically Monday and Wednesday. - Location:
Waltham, MA.
- 3 to 5 years of relevant administrative, import, logistics, trade compliance, or related experience.
- High school diploma or equivalent required.
- Familiarity with Trade Compliance Imports.
- Ability to identify key shipping documentation, including Commercial Invoice, Packing Lists, and 7501 Entry Records.
- Fair understanding of HTS classifications.
- Proficiency with Microsoft Office, especially Excel.
- Ability to extract data, organize information, and support reporting needs.
- BA or BS degree preferred.
- Import industry experience preferred.
- Experience using ERP systems to retrieve or update import, product, or compliance data.
- Experience working with Customs brokers, broker portals, Duty Drawback documentation, or logistics tracking.
