Role Overview
The Talent Acquisition Coordinator plays a critical role in delivering a high-quality, efficient recruiting experience in a fast‑paced technology environment. This position partners closely with recruiters, hiring managers, and HR colleagues to support end‑to‑end recruiting operations, ensuring a positive candidate experience and timely hiring outcomes.
Location: Waltham, MA, On-site
The ideal candidate is highly organized, detail‑oriented, and comfortable managing multiple priorities in a dynamic, deadline‑driven setting.
Key Responsibilities Recruiting Operations & Coordination- Coordinate and schedule interviews across multiple time zones, ensuring a smooth experience for candidates and interviewers
- Manage candidate communications throughout the interview process, including interview logistics, follow‑ups, and status updates
- Support recruiters with job posting creation, interview preparation, and candidate tracking
- Maintain accurate and up‑to‑date records in the Applicant Tracking System (ATS)
- Serve as a primary point of contact for candidates during the interview process
- Ensure timely, professional, and consistent communication
- Represent the company’s employer brand with a high level of professionalism and responsiveness
- Partner with recruiters and hiring managers to ensure interview processes run efficiently
- Prepare interview schedules, agendas, and materials
- Track interview feedback and follow up to ensure timely completion
- Ensure recruiting processes comply with company policies and applicable employment laws
- Identify opportunities to improve recruiting workflows, documentation, and candidate experience
- Support recruiting reporting and metrics as needed
- Assist with offer coordination, including offer letter preparation and approvals
- Support pre‑employment processes such as background checks and onboarding coordination
- Partner with HR and onboarding teams to ensure smooth transitions for new hires
- 3–5 years of experience in talent acquisition coordination, recruiting operations, or HR support
- Experience supporting recruiting in a fast‑paced, high‑volume, or technology environment
- Strong organizational and time‑management skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- High attention to detail and follow‑through
- Proficiency with ATS platforms and common recruiting tools
- Strong customer service mindset and professionalism
