Position: Medical Receptionist 1

About the Role

The Medical Receptionist 1 serves as the first point of contact for patients and visitors within a healthcare setting, ensuring a welcoming and efficient experience. This role is critical in managing patient flow by scheduling appointments, verifying patient information, and coordinating communication between patients and medical staff. The Medical Receptionist 1 is responsible for maintaining accurate records, handling sensitive patient data with confidentiality, and facilitating smooth administrative operations.

By effectively managing front desk activities, this position supports the overall efficiency and quality of patient care services. The role requires strong interpersonal skills and attention to detail to contribute positively to the healthcare environment and patient satisfaction.

Minimum Qualifications
  • High school diploma or equivalent.
  • Previous experience in a receptionist or administrative role, preferably in a healthcare setting.
  • Basic knowledge of medical terminology and healthcare office procedures.
  • Proficiency with computer systems, including electronic health records (EHR) and scheduling software.
  • Strong communication and customer service skills.
Preferred Qualifications
  • Certification as a Medical Administrative Assistant or similar credential.
  • Experience with insurance verification and billing processes.
  • Familiarity with HIPAA regulations and patient confidentiality standards.
  • Ability to speak a second language relevant to the patient population served.
  • Advanced proficiency in Microsoft Office Suite and healthcare management software.
Responsibilities
  • Greet and check in patients upon arrival, verifying personal and insurance information accurately.
  • Schedule, reschedule, and confirm patient appointments using electronic health record (EHR) systems.
  • Answer incoming phone calls, respond to inquiries, and direct calls to appropriate medical personnel.
  • Maintain patient records and ensure all documentation is complete, accurate, and compliant with privacy regulations.
  • Coordinate with medical staff to manage patient flow and communicate any delays or changes promptly.
  • Process patient payments, handle billing inquiries, and assist with insurance verification as needed.
  • Ensure the reception area is organized, clean, and stocked with necessary forms and informational materials.
  • Assist with administrative tasks such as filing, faxing, and managing correspondence related to patient care.
