Position Summary
The Part-Time Administrative Clerk provides administrative, clerical, customer service, and basic bookkeeping support for the Meriwether County Water & Sewerage Authority. This position serves as the primary point of contact for customers and visitors while ensuring the efficient operation of the Authority's administrative office.
The Administrative Clerk is responsible for providing exceptional customer service, maintaining records, processing invoices and payments, managing electronic and paper files, and assisting with day-to-day office operations. The ideal candidate is organized, detail-oriented, dependable, and able to work independently while maintaining a professional and courteous demeanor.
Essential Duties and Responsibilities
The following duties are representative of the position. Additional responsibilities may be assigned as needed.
Customer Service- Serve as the first point of contact for customers, visitors, and vendors.
- Answer incoming telephone calls in a professional and courteous manner.
- Respond promptly to customer inquiries by telephone, email, and in person.
- Assist customers with general account questions and direct inquiries to the appropriate staff when necessary.
- Maintain a positive and professional relationship with the public.
- Prepare correspondence, reports, forms, and other documents.
- Maintain organized electronic and paper filing systems.
- Scan, copy, and file documents.
- Create, update, and maintain spreadsheets and databases.
- Maintain accurate customer and administrative records.
- Assist with scheduling meetings and maintaining office calendars.
- Order office supplies and maintain inventory.
- Process invoices using Quick Books.
- Receive and record customer payments.
- Maintain accurate payment records.
- Assist with reconciling daily receipts.
- Prepare deposits and maintain supporting documentation.
- Assist with basic bookkeeping functions as assigned.
- Maintain confidentiality of customer and Authority records.
- Assist the Executive Director and other Authority staff with administrative projects.
- Perform data entry with a high degree of accuracy.
- Assist with special projects and other duties as assigned.
- High School Diploma or GED.
- One (1) year of experience in administrative support, customer service, bookkeeping, or office administration preferred.
- Proficient in Microsoft Office, particularly Word and Excel.
- Experience using Quick Books or similar accounting software.
- Valid Georgia Driver's License.
Preference may be given to applicants with experience in:
- Water and sewer utility operations.
- Municipal or local government offices.
- Utility billing systems.
- Customer account management.
- Accounts payable and receivable.
Successful candidates should possess the ability to:
- Communicate effectively, both verbally and in writing.
- Organize work and prioritize multiple assignments.
- Maintain accurate records and files.
- Work independently with minimal supervision.
- Maintain confidentiality and exercise sound judgment.
- Learn new software applications and office procedures.
- Perform basic mathematical calculations accurately.
- Operate standard office equipment including computers, printers, copiers, scanners, and multi-line telephone systems.
The employee must be able to:
- Sit for extended periods while performing computer work.
- Frequently use hands and fingers for typing and operating office equipment.
- Occasionally lift and carry items weighing up to 25 pounds.
- Communicate effectively with customers in person and by telephone.
- Occasionally bend, stoop, reach, and walk throughout the office.
Work is performed primarily in an office setting with frequent interaction with customers, vendors, contractors, and the public. The work environment is generally quiet but may become busy during peak customer service periods.
Compensation- Part-Time Position (Up to 29 Hours Per Week)
