Brief
Job Description:
- Direct phone calls and distribute correspondence
- Handle requests and queries appropriately from staff, teachers, and visitors
- Manage calendar and schedule meetings and appointments
- All Occasion Cards:
Birthdays, Sympathy, Get Well, etc. - Prepare agenda, sign in sheets, & take minutes for any meetings
- Check in and out source office supplies once delivered
- Type letters and/or create spreadsheets
- Organize and maintain office filing system
- Prepare Assembly room and/or conference rooms (e.g. make reservations and check equipment) and light hospitality duties.
- Cordially assist and scan background check for visitors entering building
- Event planning, organizing classrooms, office, furniture, etc.
- Faculty time cards, attendance data on spreadsheet
- Email and correspond with area schools, to provide the Director with updates in schedule changes, school events, grades, other deadlines, etc.
- Take attendance for on site area students and notify school secretaries
- Other duties as assigned
Training Areas:
- Have work experience as a Staff Assistant, Administrative Assistant or similar role
- Computer literacy/skills
- Minimum Bookkeeping
- Willingness to learn new programs
- Attention to details
- Familiarity with office equipment (e.g. copiers, printers and fax machines)
- Organizational skills/Filing
- Verbal and written communication skills
- Professionalism while collaborating with varying managerial levels
- Multi-tasking
