JOB PURPOSE

The Office Support Specialist Team Lead is a dual‑role position responsible for managing the recruitment process, while also providing on‑the‑job coaching and support for individuals with disabilities in the workplace. This position works closely with the HR department, hiring managers, and department heads to ensure successful recruitment of staff and volunteers. The role also includes supporting employees with disabilities, helping them build job‑related skills, and advocating for their success within the organization.

MAIN DUTIES AND RESPONSIBILITIES
  • Recruitment:
    • Screen resumes and applications for staff and volunteers.
    • Manage candidate tracking in the Applicant Tracking System (ATS).
    • Organize and coordinate interviews with hiring managers and department heads.
    • Conduct reference checks, background screenings, and other pre‑employment checks.
  • Onboarding:
    • Prepare and distribute onboarding materials, including company handbooks, benefit packages, and employment agreements.
    • Work closely with IT, facilities, and other departments to ensure that new hires have the necessary tools and equipment to start their roles.
    • Act as a point of contact for new hires during their onboarding phase, addressing any questions or concerns.
  • Job Coaching for Individuals with IDD
    • Provide on‑the‑job coaching and mentorship to individuals with disabilities in the workplace.
    • Break down tasks into manageable steps and demonstrate job functions to ensure clear understanding.
    • Offer guidance and support, ensuring individuals complete assigned tasks correctly.
    • Monitor progress and provide constructive feedback to employees with disabilities, promoting a positive learning experience.
    • Assist in developing job skills, time management, and work‑related social skills to enhance workplace integration.
    • Promote workplace safety and ensure compliance with company policies.
  • HR Administrative Support:
    • Maintain accurate and up‑to‑date employee records, including onboarding documents, contracts, and compliance paperwork.
    • Assist with HR reporting and metrics related to recruitment, retention, and onboarding.
    • Support the HR team with special projects and initiatives, such as employee engagement and training programs.

All other duties assigned.

QUALIFICATIONS
  • Must be 18 years of age.
  • High School Diploma or GED is required.
  • At least 1 year’s experience in recruitment or working with individuals with disabilities.
  • Ability to work independently and in a team environment.
  • Must successfully complete a pre‑employment background check and any subsequent background check after employment.
  • Must pass a pre‑employment drug and alcohol screening and will be subject to random drug and alcohol checks thereafter.
  • Successfully complete employment‑related training as directed.
