WACC Business & Program Coordinator
Reports to:
Director of WACC and Assistant Director of WACC
The WACC Business & Program Coordinator provides business, financial, and administrative services for the Warsaw Area Career Center. This position is responsible for purchasing, budget tracking, grant expenditure monitoring, financial recordkeeping, reimbursement processing, and account reconciliation. The coordinator also maintains program records, facilitates dual credit communications, updates digital communications platforms, assists with event planning, and contributes to the daily operations of WACC.
As a key member of the WACC team, this position helps ensure efficient operations and promotes student success and program growth.
- Create and process purchase orders while obtaining quotes, pricing information, and purchasing recommendations as needed.
- Monitor program, grant, and departmental budgets; track expenditures; reconcile accounts; and alert administrators to potential budget concerns.
- Prepare basic budget reports and provide account balance information to administrators and instructors.
- Track expenditures associated with federal, state, and local grants.
- Process staff conference registrations, conference requests, reimbursements, and mileage claims.
- Maintain accurate financial records and supporting documentation in accordance with district policies and procedures.
- Serve as a resource for administrators and instructors regarding purchasing procedures, budget inquiries, and financial recordkeeping.
- Monitor tracking industry certifications, credential attainment, and program-related data.
- Serve as a liaison between instructors and postsecondary partners by assisting with dual credit credential documentation.
- Manage and maintain WACC social media platforms including website updates.
- Contribute to the planning, coordination, and implementation of WACC events, meetings, advisory board activities, student recognition programs, and community engagement initiatives.
- Compile and maintain data, reports, and records related to career and technical education programs.
- Help with special projects and program initiatives as assigned by the Director or Assistant Director.
- Collaborate with instructors, administrators, postsecondary partners, students, parents, and community stakeholders to support WACC programs and operations.
- Maintain confidentiality of student, staff, and financial information.
- Demonstrate professionalism, strong customer service, and effective communication skills.
- Participate in staff meetings, professional development activities, and training opportunities.
- Perform other related duties as assigned by the Director of WACC or Assistant Director of WACC.
- High school diploma required.
- Post-secondary education in business, accounting, office administration, marketing, education, or a related field preferred.
- Bookkeeping, accounting, financial recordkeeping, or related experience preferred.
- Demonstrated ability to maintain accurate financial and program records.
- Strong organizational skills with the ability to manage multiple projects, deadlines, and priorities.
- Strong communication, interpersonal, and customer service skills.
- Proficiency with Microsoft Office, Google Workspace, and other business technologies.
- Ability to work collaboratively with administrators, instructors, postsecondary partners, and community stakeholders.
- Demonstrated attention to detail and ability to maintain confidentiality.
