Position Summary:

You The Fan  is seeking a highly organized, detail oriented Inside Sales Support Specialist to support our customers and sales team. This position is responsible for accurately managing customer orders from entry through shipment while ensuring each customer’s specific requirements are followed.

This role combines order management, customer service, sales support, and account coordination. The ideal candidate is an experienced, self-motivated professional who can manage multiple priorities, work independently, maintain a high level of accuracy, and work effectively as part of a team.

Success in this position requires strong attention to detail and an understanding that small errors can have a significant impact on customer satisfaction, order fulfillment, and profitability.

Requirements

Key Responsibilities
  • Process and manage customer orders accurately and efficiently from order entry through shipment.
  • Understand and follow customer-specific requirements, including:
    • Pricing and discounts
    • Shipping and freight responsibilities
    • Minimum and maximum shipment quantities
    • Packaging and labeling requirements
    • Routing and shipping instructions
  • Review orders for errors, discrepancies, missing information, and special requirements before processing.
  • Prepare shipping labels, packing slips, and other required documentation.
  • Coordinate with the sales team and warehouse to ensure orders are processed and shipped correctly and on time.
  • Monitor customer portals for new orders, updates, requirements, and changes that may affect fulfillment.
  • Research and resolve order discrepancies and customer-specific issues.
  • Communicate with customers and internal departments when clarification or additional information is needed.
  • Identify potential problems before they result in order, shipping, or customer-service issues.
  • Take ownership of assigned responsibilities and follow tasks through to completion.
Qualifications
  • Previous experience in inside sales support, sales operations, customer service, order management, order entry, or a similar role.
  • Exceptional attention to detail and commitment to accuracy.
  • Strong organizational and time-management skills.
  • Strong data-entry skills with the ability to maintain accuracy while working with large amounts of information.
  • Ability to learn and retain the unique requirements of multiple customers.
  • Comfortable working independently and making decisions within established guidelines.
  • Strong computer skills and ability to learn multiple software systems and customer platforms.
  • Strong written and verbal communication skills.
  • Ability to adapt to changing priorities in a fast-paced environment.
  • Dependable, accountable, proactive, and team-oriented work style.
