Clay Consulting is seeking an experienced leader to join the team as an Assistant Regional Operations Manager.
The position is onsite at the Warwick, RI office Monday to Friday standard business hours. Please note, occasional travel will be required visiting clinics throughout New England.
The Assistant Manager performs or coordinates administration duties and office procedures at all regional clinics. This role creates and maintains a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. They support the Regional Operations Manager in finance, human resources, accounts payable, supervising and supporting staff, office coverage, and provider document reviews. They serve as the leadership point of contact for the location(s) in which it resides.
Responsibilities- Conducts administrative tasks to assist in streamlining processes throughout the assigned region.
- Ensures charts, claimant records, and billing information are properly uploaded to Practice Suite and all applicable vendors.
- Able and willing to travel to other nearby clinics (within 100 driving miles or flying permitted) to train employees, fill in for an absent team member, or for any reason declared by Regional Operations Manager.
- Monitors tardiness and unprofessional behaviors by clinic staff and communicates feedback to Regional Operations Manager.
- With Regional Operations Manager guidance - coach, reprimand and motivate staff where needed.
- With delegation by Regional Operations Manager, participate in recruiting, hiring, and training of new staff; track staffing requirements and assist in employee reviews.
- Establishes and maintains credible, professional relationships with clients, internal business lines, and external vendors.
- Assists with OSHA, HIPAA, and ADA standards in clinic(s) to be upheld through corporate compliance checklists.
- Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement with review and approval of the ROM.
- Designs and implements office policies by establishing standards and procedures; measures results against standards; makes necessary adjustments with review and approval of Regional Operations Manager.
- Oversees support staff scheduling under guidance of Regional Operations Manager to ensure adequate clinic coverage, minimize staffing shortages, and maintain operational efficiency. Coordinates coverage as needed.
- Orders supplies, equipment, or other clinical needs required for operation, with delegation by Regional Operations Manager.
- Assists Regional Operations Manager in ensuring adequate IMO support staff coverage for providers, and securing coverage when necessary.
- Aids Regional Operations Manager in reviewing payroll for accuracy and compliance.
- Associates or bachelor's degree in Healthcare Administration/Management or related field preferred.
- 3+ years experience in healthcare administration or management position.
- Strong budget development and oversight skills.
- Highly trained in conflict management.
- Knowledge of general business software and aptitude to learn new applications; proficiency in Microsoft 365.
- Integrity, reliability, and discretion.
- Attention to detail. Ability to work autonomously.
- Ability to quickly adapt to change.
