AP/AR Specialist

We are seeking a detail-oriented and highly organized AP/AR Specialist to join our finance team. The ideal candidate will manage both accounts payable (AP) and accounts receivable (AR) processes, ensuring accuracy, timeliness, and compliance. This role requires excellent communication skills, problem-solving abilities, and proficiency in financial software and tools.

Key responsibilities include:

  • Processing and reconciling credit card transactions to maintain accurate financial records.
  • Performing bank reconciliations to ensure alignment between company accounts and financial institutions.
  • Preparing and sending accurate and timely customer invoices.
  • Applying customer payments and proactively monitoring overdue accounts to ensure timely collections.
  • Responding to vendor and customer inquiries with professionalism and efficiency.
  • Managing and maintaining detailed records for vendor and customer accounts.
  • Processing accounts payable invoices and executing payments accurately and on time.
  • Monitoring and analyzing accounts receivable (AR) and accounts payable (AP) reports to identify trends and discrepancies.
  • Assisting with month-end and year-end close processes, including journal entries and reconciliations.
  • Supporting internal and external audits by preparing and providing necessary documentation.
  • Collaborating with payroll teams as needed (payroll experience is a plus).

Required skills and qualifications include:

  • Proficiency in Quick Books Desktop for AP/AR operations.
  • Intermediate skills in Microsoft Excel, including data analysis and reporting functions.
  • Proficiency in MS Office Suite (Word, Outlook, etc.).
  • Exceptional attention to detail and ability to multitask in a fast-paced environment.
  • Strong problem-solving and analytical skills.
  • Excellent written and verbal communication skills.

Preferred qualifications include:

  • Experience with payroll processes.
  • Associate's degree or higher in Accounting or related field.
