Status: Full-Time, Hourly $20-25/hour

Position Summary:

The Administrative Assistant provides critical administrative and clerical support to the operations, accounting, project management, and sales teams. This position serves as a central point of communication for customers, vendors, employees, and visitors while ensuring accurate recordkeeping and efficient office operations. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced manufacturing environment.

Essential Duties and Responsibilities

Administrative Support:

  • Answer and direct incoming phone calls and emails.
  • Greet customers, vendors, and visitors professionally.
  • Maintain office supplies and assist with ordering for the production facility.
  • Organize and maintain company records, files, and correspondence.
  • Assist with preparation of reports, presentations, and meeting materials.
  • Actively post on company social media sites including Facebook and Instagram.

Accounting Support:

  • Support accounts receivable collections and customer communications.
  • Enter data into accounting systems.
  • Assist with payroll administration and employee documentation as assigned.

Production and Project Support:

  • Enter production activities in accounting systems.
  • Assist with customer will calls.
  • Support project managers with scheduling and administrative tasks.
  • Coordinate delivery paperwork and customer communications.

General Office Responsibilities:

  • Coordinate company mail and package shipments.
  • Schedule meetings and manage calendars as needed.
  • Assist with company events and employee activities.
  • Maintain confidentiality of company and employee information.
  • Perform other duties as assigned.

Qualifications

Education & Experience:

  • High school diploma or equivalent required.
  • Minimum 2 years of administrative experience; manufacturing or construction industry experience preferred.

Skills & Abilities:

  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Strong data entry and organizational skills.
  • Excellent verbal and written communication abilities.
  • Ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy.
  • Experience with accounting software systems preferred.
  • Ability to work independently and as part of a team.

Physical Requirements:

  • Ability to sit, stand, and walk throughout the workday.
  • Ability to lift and carry up to 25 pounds occasionally.
  • Ability to work in an office environment within an active manufacturing facility.

Compensation details: 20-25 Hourly Wage
