Job Summary
The Court Services Administrative Assistant will provide high‑level support to the Court Services (CS) Director, Judicial Officers and CS Program Managers. The role requires an exceptionally organized, flexible individual who can handle a wide range of executive support tasks with minimal supervision. This person will coordinate staff, respond to clients in a fast‑paced environment, maintain professionalism and confidentiality, and assist in identifying policy gaps and department needs.
Duties- Budget: Work closely with the Tribal accounting department, the CS Director and CS program staff to ensure reimbursements and reports are submitted on time; review budgets and spending patterns to confirm compliance with Tribal and grant regulations; assist the CS Director with yearly budget preparation and review, including data entry into BI360, journal entries, and participation in budget meetings; reconcile monthly Profit and Loss statements.
- Reporting: Collect data with Program Managers to generate Tribal reports; track and enter statistical data into the Tribal database; maintain and update data in spreadsheets and the website.
- Planning: Assist planning staff with staff training and meetings; help develop policies and procedures to improve service; support the Department Director and Program Managers with strategic planning.
- Provide direct program support for the Director, Judicial Officers, Court Clerks, CS Program Managers, and department staff on special projects and new program implementation.
- Supervise, coordinate, and review the work of office staff.
- Ensure the Court Services Department remains fully staffed.
- Coordinate and schedule meetings, travel, and associated logistical support.
- Manage program work groups, committees, and official records.
- Update and prioritize schedules and work plans as needed.
- Develop professional reports and presentations.
- Manage Director files, records, and maintain an electronic records management system.
- Ensure effective communication between department staff, Tribal members, and external agencies.
- Other duties as assigned.
- Education/
Experience:
Associate’s degree required;
Bachelor’s degree preferred; at least three years of experience as an Administrative Assistant. - Licensing/Certification: Valid Washington State driver’s license.
- Personal Computer
Skills:
Advanced small‑business computer skills with at least 70 words per minute typing; advanced word processing, spreadsheet, and other software capabilities, including MS Word, Excel, PowerPoint, Access, Outlook, and Google Calendar. - Preferred
Skills:
Accurate record‑keeping, excellent calendar management, PowerPoint presentation support, and experience planning and scheduling travel arrangements for management. - Physical and Other Requirements: Advanced data entry skills; friendly and outgoing personality; regular use of hands; ability to walk, sit, stand, reach; occasional lifting up to 25 pounds; vision requirements (close, distance, color, peripheral, depth, and focus adjustment); compliance with Tribal Substance Abuse and Personnel Policies.
Frequent local travel to Tribal offices and occasional regional and statewide travel as required.
