Job Summary

The Oakville School District is seeking a dedicated and organized individual to join our team as a Special Education Secretary on a part-time basis. This position provides administrative assistance, manages records, and facilitates communication between staff, students, and families. The ideal candidate will possess strong organizational skills, attention to detail, and a passion for supporting students with diverse learning needs.

Responsibilities
  • Provide administrative support to the Special Education department, including scheduling meetings, maintaining calendars, and coordinating events.
  • Manage and maintain student records, ensuring accuracy and confidentiality in compliance with district policies and legal regulations.
  • Assist in the preparation and distribution of reports, correspondence, and documentation related to special education services.
  • Serve as a point of contact for parents, staff, and external agencies regarding special education inquiries and support.
  • Coordinate the logistics of special education meetings, including IEP (Individualized Education Program) meetings, assessments, and evaluations.
  • Maintain an organized filing system for all special education documents, ensuring easy access and retrieval of information.
  • Collaborate with teachers, administrators, and support staff to ensure the smooth operation of the Special Education department.
  • Assist in the procurement and inventory management of special education materials and resources.
  • Perform other related duties as assigned by the Special Education Director or administrative staff.
Requirements
  • High school diploma or equivalent; additional education or training in office administration or special education is highly desirable.
  • Previous experience in a school setting, particularly in special education, is highly desirable.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with student information systems.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
  • Excellent communication skills, both written and verbal, with a strong customer service orientation.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong attention to detail and accuracy in record-keeping and documentation.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Knowledge of special education laws and regulations is a plus.
