Finance Operations Associate

We are a rapidly growing U.S.
-based real estate services firm and a Mid-Atlantic leader in new residential development. We partner with developers to bring new communities to market end to end — research, marketing, sales, leasing, and advisory. We are a lean, senior, fast-moving team that has recently expanded across markets, and we value people who are precise, proactive, and comfortable owning their work.
This is a newly created, high-trust role born out of growth. Our accounting function is under pressure, and our local accounting lead is spending too much time on transactional data entry. This position exists to take that day-to-day bookkeeping load off their plate — owning invoicing, AP/AR, and reconciliations under their review — while also acting as a reliable right hand to our President on follow-through, meeting preparation, and document coordination.
It is a blended finance and executive operations seat for someone who is equally dependable with numbers and with people, and who can create structure as the role grows.
- Prepare and generate client invoices for internal review before they are sent
- Manage accounts payable and receivable, and follow up on outstanding invoices
- Perform account reconciliations and maintain accurate, organized records in Quick Books
- Support the local accounting lead by owning transactional work and flagging discrepancies
- Prepare agendas and materials ahead of the President's meetings
- Own follow-through on action items — making calls, coordinating with third parties, and chasing deliverables to completion
- Route documents for signature via Docu Sign
- Provide a daily priority briefing (today / three-day / five-day outlook, with items that need attention flagged) so the President always knows where to focus
- Support ad hoc operational and administrative projects as they arise
- Help build lightweight processes and structure as the role expands
- Coordinate across the team to keep initiatives moving
- 2+ years in a bookkeeping, finance operations, or blended finance/administrative role
- Hands-on Quick Books experience across invoicing, AP/AR, and reconciliations
- Experience working with U.S.
-based companies and U.S. financial practices - Excellent written and spoken English
- Able to work full U.S. Eastern business hours on a sustainable, long-term basis
- Strong organization, attention to detail, and discretion with confidential financial information
- Quick Books certification
- Experience supporting an executive, owner, or founder
- Background in professional services, agency, or real estate environments
- Based in Latin America or South Africa
- Experience building simple SOPs or processes
