Executive Assistant/Office Manager Washington, DC
Leading global investment firm is seeking a polished, highly organized Executive Assistant to join the Global Public Policy team in Washington, DC. This role provides proactive executive support to senior leaders on the Public Policy team while also serving as the day‑to‑day point person for office operations and the overall employee and visitor experience. The ideal candidate is service‑oriented, calm under pressure, and takes pride in delivering high‑quality work with discretion, sound judgment, and exceptional attention to detail.
Responsibilities- Manage Executives’ calendars and anticipate needs of executives involved
- Schedule and coordinate meetings and Executive events, inform attendees of dates and time, reserve meeting space, ensure the appropriate equipment/materials are available
- Review incoming communications, prioritize and summarize content
- Compose, draft, proof, edit, and finalize correspondence including e‑mail and other documents.
- Arrange domestic and international trips; provide detailed itineraries, agendas, directions, and backup materials
- Prepare expense reports in timely manner ensuring accuracy and submit in accordance with Firm policy
- Manage day‑to‑day onsite operations including onboarding support, visitor and badge processes, mail and deliveries, employee inquiries, and coordination support for office events and Corporate Services projects
- Select vendors for repairs, office supplies, and pantry needs, ensuring service levels are met and issues are resolved quickly
- Minimum four years of experience as an Executive Assistant
- Bachelors degree preferred
- Superior time management skills; critical thinker with strong attention to detail
- Excellent writing, editing, and verbal communication skills
- Advanced computer skills using Microsoft Office Suite
- Prior experience as an Executive Assistant in the government affairs setting, and/or the financial services industry highly desirable
