Brief Position SummaryThe Philanthropy Assistant's primary role is to provide administrative support to the Vice President of Philanthropy in achieving the annual fundraising and campaign goals of the Trust. At times, this may include support for the Philanthropy leadership team and/or collaborative work with other teams. The Philanthropy Assistant also works closely with the Director, Office of the President & CEO to facilitate internal and external meetings and activities.
Additional responsibilities include coordinating team activities, event support, moves management, and meeting preparation.
Salary Range: $51,000 to $55,000
Responsibilities Executive Support (70%)- Provide direct support to the Vice President of Philanthropy to ensure efficient use of time and attention; use discretion to prioritize requests, manage calendar to ensure all appointments and meetings are efficiently scheduled, make travel arrangements and dining reservations, and negotiate with other schedulers.
- Prepare materials and information in support of donor meetings; submit research requests, deliver meeting preparation materials, and assemble collateral packets.
- Schedule internal meetings that require the Vice President of Philanthropy's attendance, including meetings across teams, monthly development committee meetings, and 1:1's with direct reports.
- Coordinate meetings, travel, and logistics as needed to support the Director, Office of the President & CEO.
- Assist with moves management; ensure that contacts, interactions, and conversions are properly logged and prepare reports for the Philanthropy leadership team when assigned.
- Provide other administrative support for the Trust's philanthropic efforts as needed; assist with meeting agendas and minutes, support the Philanthropy team's reporting of goals and metrics, and collaborate with other teams in support of special events and campaigns.
- Actively participate in building organizational and team culture aligned with the Trust's values.
- Model collaboration and teamwork by performing other duties as assigned and/or approved.
- Demonstrated proficiency in planning, arranging, and supporting meetings and domestic travel as necessary.
- Experience in scheduling with high‑profile individuals and corporate relations teams is beneficial.
- Ability to effectively manage team dynamics and adeptly prioritize tasks while maintaining necessary scheduling boundaries.
- Proficiency with office productivity tools (Office 365 or Google Suite) is required, with an emphasis on Outlook, SharePoint, Teams, Word, Excel, and PowerPoint.
- Familiarity with Salesforce or similar CRM platform is highly beneficial.
- A commitment to integrity and professional ethics in working with confidential donor information as this requires discretion, ethical awareness, and strict compliance with privacy and security practices.
