We are currently recruiting for a polished, highly organized Executive Assistant to join an amazing financial services company as a part of their Global Public Policy team in Washington, DC. (In office 5 days per week). The ideal candidate will have 4-5+ years of experience providing proactive executive support to senior leaders while also serving as the day-to-day point person for office operations and the overall employee and visitor experience.
This candidate should be service-oriented, calm under pressure, and take pride in delivering high-quality work with discretion, sound judgment, and exceptional attention to detail. This individual will partner closely with colleagues across the company to ensure the office runs smoothly and that executives are supported with consistency, speed, and professionalism. 105K-120K Base + OT + Bonus + Equity + a full benefits package.
- Manage Executive calendars, proactively identifying conflicts and communicating changes.
- Coordinate meetings and events, including scheduling, space, equipment, and hospitality.
- Review and prioritize incoming communications; draft responses as directed.
- Draft, edit, and finalize correspondence and presentation materials.
- Arrange domestic and international travel; prepare itineraries and submit expense reports.
- Onboard vendors and process invoices in accordance with Firm policies.
- Oversee daily onsite office operations, including onboarding, visitors, mail, and events.
- Serve as the primary onsite contact for building management and office vendors.
- Manage purchasing, vendor relationships, and issue resolution.
- Support office space planning, seating, and reservation systems.
- Ensure office readiness, appearance, and coordination of maintenance and repairs.
- 4+ years of experience as an Executive Assistant or in a similar role.
- Experience supporting senior leaders in a complex, fast-paced environment.
- Government affairs and/or financial services experience preferred.
- Proven ability to prioritize and manage multiple competing deadlines.
- Experience managing complex and dynamic calendars.
- Proactive problem-solver with strong judgment and anticipation of needs.
- Strong organizational, planning, and time management skills.
- Excellent written, verbal, and interpersonal communication skills.
- High attention to detail with sound judgment and discretion.
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Ability to manage sensitive and confidential information with discretion.
- Highly organized team player who collaborates effectively with internal and external partners.
