Overview
Job Title: Executive Assistant to CEO at Association
Location: Hybrid (2–3 days per week in office)
Compensation: $48/hour
Duration: Temporary; possible temp to hire
We are seeking a highly organized, proactive, and discreet Executive Support professional to provide high-level support to the CEO for an architectural association. This immediate, temporary (possible temp to perm) opportunity is ideal for someone who thrives in complex executive settings and can seamlessly manage competing priorities with professionalism and precision.
Qualifications- 5+ years of experience supporting C-level executives in complex organizations
- Proven ability to manage confidential matters with discretion, diplomacy, and integrity
- Experience supporting multiple executives, managing complex calendars, and coordinating travel and reimbursements
- Demonstrated success coordinating high-level meetings and supporting strategic initiatives
- Strong project management and organizational skills; able to prioritize, work independently, and meet deadlines under pressure
- Exceptional written and verbal communication skills, including drafting executive-level correspondence and briefings
- Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook) and familiarity with SAP Concur, Zoom, Teams, and related tools
- Skilled relationship-builder with strong interpersonal and emotional intelligence
- Adaptable and comfortable working in a hybrid, fast-paced environment
- Manage a complex CEO calendar and coordinate internal/external meetings
- Arrange domestic and international travel
- Prepare briefings, talking points, and presentations
- Track priorities and ensure follow-up on key commitments
- Serve as liaison between the CEO and stakeholders
- Manage and triage executive communications
- Draft and proof executive correspondence
- Coordinate materials and logistics for Board-related meetings
- Support governance communications and maintain confidentiality
- Lead logistics for leadership meetings and retreats
- Manage files, tracking systems, and CEO budget processes
- Coordinate executive scheduling alignment and travel reimbursements
- Support special projects and cross-functional initiatives
