Job Description:
The Senior Administrative Assistant will provide high-level support to senior leaders within the Government Affairs and Strategic Engagement teams. This role involves extensive calendar management, event coordination, and cross-team support in a fast-paced, highly visible environment.
Key Responsibilities:
- Coordinate logistics for meetings and events, including vendor coordination, participant communications, RSVPs, and venue setup
- Manage executive calendars, travel arrangements, and meeting preparation
- Process expense reports, purchase orders, and reimbursement requests
- Assist with formatting and preparing presentation materials for internal and external engagements
- Maintain up-to-date records in internal systems, including contact lists and committee databases
- Support planning for large-scale annual conferences and strategic forums
- Facilitate communication between senior staff and key stakeholders
- Complete ad hoc administrative tasks and assist with special projects as needed
Qualifications:
- 3–5+ years of administrative or project support experience, preferably in a corporate or nonprofit environment
- Prior experience supporting executive or senior-level leadership
- Proficient in Microsoft Office (Excel, PowerPoint, Word); familiarity with Workday or CRM tools is a plus
- Highly organized and detail-oriented, with strong time management and multitasking skills
- Professional demeanor with excellent communication and customer service abilities
- Associate’s or Bachelor’s degree preferred; relevant experience accepted in lieu of degree
