The Executive Assistant provides high-level administrative, operational, and logistical support to the Executive Team at National Real Estate Advisors, while also supporting select firm-wide initiatives and day-to-day operational needs. This role serves as a key partner to senior leadership, helping ensure executives are well-prepared, informed, and able to operate efficiently in a fast-paced environment.

The ideal candidate brings exceptional organizational skills, sound judgment, discretion, and the ability to manage competing priorities. This role requires a proactive mindset, strong communication skills, and a willingness to support both executive-specific responsibilities and broader firm needs as they arise.

Essential Functions
  • Provide direct administrative, logistical, and operational support to members of the Executive Team.
  • Manage complex and dynamic calendars, including scheduling meetings and coordinating travel arrangements.
  • Prepare, organize, and distribute materials for executive meetings, board meetings, and presentations, including agendas, briefing materials, reports, and follow-up notes.
  • Anticipate executive needs and proactively ensure leaders are prepared for meetings, deadlines, and key commitments.
  • Track action items, deadlines, and follow-ups for the Executive Team, ensuring timely completion and accountability.
  • Handle confidential and sensitive information with the highest level of discretion and professionalism.
  • Maintain organized systems for executive records, meeting notes, and documentation.
  • Support firm-wide initiatives, meetings, and projects as needed, including coordination across departments.
  • Partner with internal teams to collect, organize, and prepare data, reports, and presentations for executive review.
  • Lead logistical coordination for key firm meetings and events, including room setup, materials preparation, printing, and packet assembly.
  • Serve as a point of coordination between executives and internal stakeholders to ensure clear communication and follow-through.
  • Assist with ad hoc administrative and operational needs that support the overall efficiency of the firm.
  • Contribute to continuous improvement of administrative processes, workflows, and documentation.
Other Duties and Responsibilities
  • Strict adherence to the terms and provisions as detailed in National’s Employee Handbook.
  • Complete compliance with National’s Regulatory Compliance Manual, Code of Ethics and underlying compliance policies and procedures.
  • Continue professional development as appropriate.
  • Other duties as assigned.
Qualifications
  • Bachelor’s degree preferred, or equivalent combination of education and relevant experience.
  • 5–10 years of experience providing executive-level administrative support, preferably supporting senior executives in a professional services, real estate, finance, or similarly fast-paced environment.
  • Proven experience managing complex calendars, coordinating travel, and supporting multiple senior leaders simultaneously.
  • Strong organizational and time-management skills with the ability to prioritize competing demands and work effectively under pressure.
  • Exceptional attention to detail and follow-through, with a high degree of accuracy in all work.
  • Demonstrated ability to handle confidential and sensitive information with discretion, professionalism, and sound judgment.
  • Excellent written and verbal communication skills, with the ability to interact confidently with executives, internal teams, and external partners.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort learning new systems and tools.
  • Ability to work independently while also collaborating effectively across teams.
  • Proactive, solutions-oriented mindset with a willingness to support firm-wide needs and adapt as priorities evolve.
