Overview
LMI is seeking an Administrative Support Specialist to support a client based in Washington, DC. We are seeking an energetic self-starter who has expert consulting and customer service skills and is focused on developing practical and efficient solutions to administrative challenges. This role involves managing logistics for meetings, coordinating travel, tracking information, and ensuring effective communication across the team. The ideal candidate will be detail-oriented, proactive, and capable of managing multiple tasks in a dynamic environment with an eye towards administrative process improvement.
The role requires a minimum of three (3) days per week on-site support presence at the client’s Washington, DC HQ.

Responsibilities- Coordinate logistics for client office meetings, including setting up time, location, and communications platforms (e.g., telecom, Microsoft Teams).
- Develop and distribute approved agendas and provide support during meetings.
- Operate and provide technical support for ViTS, Telecom, Web Ex, Microsoft Teams, and Mezzanine systems during client meetings.
- Manage media system support for briefing materials, ensuring seamless presentation of video and office automation files.
- Serve as a point of contact for aggregating and producing client office recurring (e.g., bi-weekly) highlight reports
- Serve as a point of contact for the client's Conference Tracking System
- Facilitate weekly meeting support, including gathering materials, making copies, and assisting with setup.
- Prepare travel authorizations and vouchers for client staff’s international and domestic travel, tracking approval processes, and preparing travel packets.
- Assist in managing and tracking calendar actions and serve as point of contact to update the client office's Master calendar
- Post files and records per client's record management plans on client Intranet SharePoint, or other designated services.
- Provide updates to the Deputy Director on action statuses and routing progress.
- Obtain necessary approvals for the public release of presentations.
- Assist in answering front office phone lines, providing information to callers, and route calls as needed.
- Order and distribute office supplies for client office as needed. Stock Printers with paper and ink. Serve as point of contact for shipping and receiving materials.
- Identify and implement administrative process improvements, utilizing tools like Power Automate to streamline workflows.
- Generate and analyze data-driven reports using Power
BI to inform decision-making processes. - Perform minor administrative functions as required.
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Minimum of 3 years of experience in administrative support roles, preferably in a government or aerospace environment.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and familiarity with Power
BI and Power Automate. - Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Demonstrated ability to identify and implement process improvements in an administrative setting.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Ability to travel up to 10% of the time.
Preferred Qualifications:
- Experience supporting a government agency, particularly within science, engineering, or other aerospace organizations.
- Experience in managing and supporting large-scale meetings and events.
- Proficiency in SharePoint and other document management systems.
- Certification in Administrative Support or a related field.
- Experience in using Power
BI for data reporting and Power Automate for workflow automation
Target salary range: $75,000-$95,000
